Travel Insurance (Strongly Recommended)
Our birding, wildlife, and nature-adventure trips sometimes operate in remote areas where medical care and especially medical evacuation can be very expensive. For that reason, we strongly recommend that every participant purchase travel insurance that includes:

All costs for medical treatment, evacuation, and related services are the responsibility of each participant. Please travel with a credit card available for emergencies, as some providers require payment at time of service.
You may purchase coverage through any provider you prefer. If you would like a recommendation, we suggest Travel Insured International or a comparable insurer. Some benefits are time-sensitive (for example, Pre-Existing Condition Waivers and “Cancel For Any Reason” options) and may require purchase shortly after your initial deposit is received. Please read the policy details carefully, as terms vary by provider and plan.
Program Changes and Events Outside Our Control
Travel and nature-based programs are affected by wildlife conditions, weather, sea state, road conditions, and other operational realities. We may adjust routes, schedules, accommodations, transportation, guides, or activities when needed for safety, logistics, conservation, or the best overall experience.
Roman Cahero Nature Tours is not responsible for participant expenses related to delays, itinerary changes, trip interruption, or cancellations due to circumstances beyond our control, including but not limited to weather, natural disasters, outbreaks, strikes, civil unrest, supplier failures, and governmental actions such as travel restrictions or border closures. This includes costs such as airfare, flight changes, missed connections, extra lodging nights, meals, baggage issues, visa/passport fees, or other incidental expenses.
1. Travel Insurance (Strongly Recommended)
Roman Cahero Nature Tours operates birding, wildlife, and nature-adventure programs that may involve remote locations and activities where emergency medical treatment and evacuation can be costly. Each participant is solely responsible for medical expenses, evacuation costs, and related charges. Participants are strongly encouraged to purchase travel insurance that includes, at minimum, Trip Cancellation, Trip Interruption, Emergency Medical, and Medical Evacuation/Repatriation coverage. Participants should also carry a credit card for emergencies, as some providers may require payment at time of service.
Participants may purchase coverage through any insurer of their choice. Roman Cahero Nature Tours may recommend Travel Insured International or a comparable provider; however, Roman Cahero Nature Tours does not sell insurance and does not act as an insurer or insurance agent. Coverage determinations, reimbursements, exclusions, and claim decisions are strictly between the participant and the insurer.
Certain policy benefits may be time-sensitive (including Pre-Existing Condition Waivers and “Cancel For Any Reason” options) and may require purchase within a limited time after Roman Cahero Nature Tours receives the participant’s initial deposit. Policy terms vary by insurer and plan. Participants are responsible for reviewing and understanding their policy.
2. Assumption of Risk and Participant Responsibility
Participants acknowledge that travel and nature-based activities involve inherent risks, including but not limited to: wildlife encounters, rough seas, remote travel, variable weather, limited access to medical facilities, transportation disruptions, and changes in local conditions. Participants agree to follow guide instructions, safety protocols, and local regulations.
3. Force Majeure / Circumstances Beyond Our Control
Roman Cahero Nature Tours is not responsible for, and will not reimburse, any costs or losses incurred due to delays, itinerary changes, interruptions, or cancellations arising from circumstances beyond our control, including but not limited to: weather and sea conditions, natural disasters, outbreaks or public health events, quarantines, strikes, civil unrest, war, terrorism, crime, road closures, supplier failures, or governmental actions such as travel advisories, travel restrictions, permit limitations, park closures, border closures, or flight disruptions.
Roman Cahero Nature Tours is not responsible for participant expenses associated with such circumstances, including but not limited to: airline tickets, flight change fees, missed connections, lodging, meals, transportation, visa/passport costs, baggage loss/delay, or any incidental or consequential expenses.
4. Itinerary Changes / Program Modifications
Roman Cahero Nature Tours reserves the right to modify routes, schedules, accommodations, activities, transportation, guides, and program elements when necessary due to safety, wildlife conditions, weather, conservation considerations, operational constraints, or other reasonable factors. Such modifications do not constitute grounds for refund.
5. Operator Cancellations
Roman Cahero Nature Tours reserves the right to cancel a trip prior to departure for any reason, including but not limited to insufficient participation, safety/security concerns, travel restrictions, border closures, supplier unavailability, or weather-related limitations.
If Roman Cahero Nature Tours cancels a trip, Roman Cahero Nature Tours’ responsibility is limited to refunding payments received by Roman Cahero Nature Tours, minus any non-recoverable costs already paid to suppliers and any clearly disclosed processing fees. Roman Cahero Nature Tours is not responsible for additional participant costs such as airfare or third-party bookings.
6. Participant Cancellations / Refund Policy
Because program arrangements often require advance deposits and payments to hotels, transport providers, boat operators, guides, and other suppliers—many of which are non-refundable—this cancellation policy applies to all participants.

Notice Requirement: All cancellations must be submitted in writing (email acceptable). The effective cancellation date is the date Roman Cahero Nature Tours receives written notice.

Refund Schedule (USD):

121+ calendar days before program start: refund of amounts paid minus a $200 USD processing fee

120 to 91 calendar days before program start: refund of amounts paid minus a $1,000 USD processing fee

90 days or fewer before program start: no refunds

No Exceptions: This policy applies regardless of reason, including illness, family emergencies, flight disruptions, weather, travel advisories, changes in personal circumstances, or perceived risk. Roman Cahero Nature Tours cannot make exceptions.

Partial Participation / Early Departure: No refunds are provided for late arrivals, missed days, unused services, voluntary early departure, or removal from the program for non-compliance or unsafe behavior.
7. Currency
All prices, fees, penalties, and refunds are stated and processed in USD.
8. Acknowledgement
By submitting a deposit and/or final payment, participants acknowledge they have read, understood, and accepted these Terms and Conditions.
9. Payments, Chargebacks, and Disputes
By submitting a deposit or payment, the participant authorizes Roman Cahero Nature Tours (a division of Birding and Nature Adventures S.A. de C.V.) to charge the selected payment method for agreed trip costs according to the invoice and/or payment schedule.
Chargebacks and payment disputes (including credit card disputes) create immediate costs and operational disruption for a small, service-based travel company. Participants agree to contact Roman Cahero Nature Tours first and allow a good-faith opportunity to resolve any billing concern before initiating a chargeback or dispute.
If a participant initiates a chargeback or payment dispute for services properly delivered or for cancellation fees that are consistent with this policy, Roman Cahero Nature Tours reserves the right to:

treat the booking as canceled immediately, and/or
-
suspend services and documents (including confirmations, final documents, and ticketing support), and/or
-
recover any non-recoverable supplier costs, bank/merchant processing fees, and reasonable administrative costs incurred as a result of the dispute.
Nothing in this section limits a participant’s rights under applicable law.
10. Insurance Documentation Support
If you need to cancel and plan to file an insurance claim, Roman Cahero Nature Tours will provide reasonable documentation that we can issue, such as an invoice, receipt history, and a written statement of paid amounts and our cancellation policy. Final claim decisions and reimbursements are made solely by the insurance provider.
